Position Summary

Our client is seeking an experienced Administrative Assistant III to provide high-level administrative support to business leaders and teams. This role requires exceptional organizational skills, complex calendar and travel management experience, strong communication abilities, and a proactive approach to problem-solving in a fast-paced corporate environment.

Key Responsibilities

  • Manage complex executive calendars, prioritize scheduling requests, and coordinate meeting logistics.
  • Schedule and organize internal and external meetings, including room reservations, visitor access, and equipment setup.
  • Welcome and escort visitors, candidates, and meeting attendees as needed.
  • Coordinate detailed domestic and international travel arrangements, including itineraries, visas, passports, Global Entry, TSA PreCheck, and security requirements.
  • Prepare and reconcile monthly expense reports using Concur.
  • Create and edit correspondence, reports, presentations, and other business documents.
  • Compile, maintain, and analyze data to generate reports, charts, graphs, and presentations.
  • Support departmental reporting and compliance-related activities.
  • Assist with department meetings, team events, and project initiatives.
  • Provide backup support to other administrative team members.
  • Identify opportunities to improve administrative processes and workflow efficiency.
  • Participate in special projects and perform additional duties as assigned.

Required Qualifications

  • Proven experience providing high-level administrative support in a corporate environment.
  • Strong calendar management and meeting coordination skills.
  • Experience arranging complex domestic and international travel.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience using Concur for expense management.
  • Excellent written and verbal communication skills.
  • Strong attention to detail, organization, and time management abilities.
  • Ability to handle confidential information with professionalism and discretion.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.

Preferred Qualifications

  • Experience supporting senior leaders or executives.
  • Knowledge of corporate travel policies and international travel requirements.
  • Experience creating reports, presentations, and data visualizations.
  • Familiarity with financial services, investment management, or highly regulated industries.
